Job Purpose
In this role you will provide proactive and first-class support to UFH’s Senior Creative Fragrance team of specialists.
You will join a fast-paced environment which requires the whole team, including the team assistant; to provide top level of service and deliver with excellence. This role requires an experienced team assistant, who is a self-starter with attention to detail who can anticipate the needs of the business and specialist team. The business has a very international footprint and will require the EA to interact regularly with a very international network both inside the business and externally, frequently covering different time zones.
You must be capable of managing your own time flexibly and effectively, organising a complex travel schedule using excellent judgement in interacting at the highest levels of the company.
What Will Your Main Responsibilities Be?
- Providing full support to the Global Fragrance Creative Director & Creative Team, including travel arrangements, meeting management across time zones, processing expenses, agendas, visitor coordination, and event planning.
- Communicating effectively with the team to anticipate and resolve issues proactively.
- Managing high-touch stakeholders with elevated engagement needs and expectations.
- Addressing operational and administrative tasks efficiently to streamline processes.
- Organizing international and local travel, including itineraries, visas, and all necessary logistics. Proactively managing organising parties and participants to ensure seamless visits.
- Planning meetings and workshops locally and abroad, including venue booking, agenda preparation, arranging activities, logistics, and ensuring smooth technical setups.
- Coordinating highly confidential external meetings.
- Managing a global network of internal and external stakeholders while serving as a point of reference for local teams and external partners.
Skills & Experience Your Should Have
- This role requires proven experience and track record of high performance as a Personal Assistant and experience working in a regional or global organization.
- Critically, you must be well organized, able to prioritize tasks of high complexity and can build relationships with an international network with key stakeholders across different levels internally and externally.
- You must be flexible, have a high degree of maturity, self-confidence, and enthusiasm with strong interpersonal skills.
- Accuracy and speed are essential.
- Initiative to think proactively how to support and best assist the team.
- You must be comfortable working both in a face-to-face and in a virtual environment, collaborating with people from different cultures around the world.
- You must be trustworthy, sensitive, and discreet when exposed to confidential information.
- Experience in managing office processes is important and where necessary, developing new approaches to meeting changing needs in digitalisation.
- Excellent in Microsoft applications including Outlook, Word, Excel, and PowerPoint, ability to quickly acquire new IT skills to utilize key company software and systems.
- An interest in Fragrance & an appetite to upskill in the business acumen associated with the industry.
